Jobs it does

The workflow your team runs by hand today

Onboarding, intake, routing and sync, automated per agent or client. Each job names the product that does it.

  • Onboard an agent without a support call

Send a mailbox connect link and a CRM invite. The agent signs in with Google or Microsoft and pastes their CRM key, without a SyncYak login, and shows as connected.

    Done with: MailCRM

  • Give every agent or client their own lead inbox

An inbox per agent, office or client, on your own domain (leads@parser.yourbrand.com), with the portal templates added in one click.

    Done with: Parse

  • Route every lead to the right person

A Google Sheets lookup adds the agent by zip code, listing or source, then the lead goes to their sheet, a Zap, or your webhook.

    Done with: Parse

  • Centralize every agent’s CRM in one database

Each agent’s Follow Up Boss, Lofty or KW Command syncs into your database, in shared tables or one per connection. Enrichment is written back to Follow Up Boss, Lofty, HighLevel and Cloze.

    Done with: CRM

  • Build it into your own product

Everything in the dashboard is an API: create inboxes, connect mailboxes, read deliveries, send email, and receive signed webhooks. Errors in your own app go to Cloud Logging.

How it works

Roll out in three steps

  1. Set up your account once

Register your Google and Microsoft apps for the mailbox connect page, verify your domain for lead inboxes, and invite your team with roles.

  2. Connect your agents or clients

Send connect links and CRM invites from the dashboard, or create them from your own onboarding through the API.

  3. Let the workflow run

Leads are parsed, routed and delivered to sheets, Zaps or your webhooks; CRMs sync on schedule; follow-ups go out from each agent’s address.

Before and after

What changes for your operations team

Onboarding, intake and data, before and after.

  • Onboarding a new agent

A support call to set up email forwarding, a spreadsheet of CRM API keys, and a week before the first lead is routed.

The agent opens a connect link and a CRM invite, signs in with Google and pastes a key. Their inbox, mailbox and CRM show as connected.

  • Routing portal leads

Every lead lands in a shared inbox and a coordinator forwards each one to whoever covers that area.

Parse looks up each lead’s zip code in your roster sheet, adds the agent, and delivers it to their sheet, Zap or your app.

  • Keeping CRMs enriched

Scores and pre-approval statuses live in a spreadsheet nobody copies into the CRM.

The spreadsheet is the source: each changed row is written into the lead’s custom fields in the agent’s CRM.

Example situations, to show how the products fit a working day.

CRM enrichment

Your sheet or your database becomes your CRM’s enrichment engine

Write scores, segments and flags into a table in your own Postgres or MySQL, from SQL, a scheduled job or a scoring model. Whenever a row is inserted or changed, SyncYak writes it into the matching lead in Follow Up Boss, Lofty, HighLevel or Cloze.

  1. Your leads land in your database

Every CRM lead syncs into to_syncyak_acme_people, one row per lead with its CRM id, plus a typed _flat view.

  2. Map each column to a field

Write values into from_syncyak_acme_people, keyed by the same id, and map each column to a CRM field. Missing fields are created.

  3. Update a row, the CRM follows

Only inserted or changed rows are written, at your plan’s pace. An empty value never clears a CRM field.

Postgres: score a lead
insert into from_syncyak_acme_people
  (id, lead_score, persona, pre_approved)
values ('4821', 87, 'First-time buyer', true)
on conflict (id) do update set
  lead_score   = excluded.lead_score,
  persona      = excluded.persona,
  pre_approved = excluded.pre_approved;

Included from CRM Hobby, $29 a month.

And for every new lead

Enrich incoming leads before they reach you

Parse matches each new lead by email, phone, zip code or listing to a row of your sheet and adds its columns, such as the agent who owns it or the campaign it came from, before it goes to Zapier, your sheet or your webhook.

Included from Parse Hobby, $9 a month.

Questions platforms and brokerages ask

Something else? Write to contact@syncyak.com and a person answers.

Can my Google Sheet update my CRM?

Yes. Keep one row per lead, matched on the CRM lead id, and map each column header to a CRM custom field: a lead score, a tag, a persona, pre-approval status, open-house notes. Whenever a row is added or changed, SyncYak writes the values into the lead. A starter sheet fills the ids in for you. Included from CRM Hobby.

Is it white-label?

Where your clients look, it carries your name: the Google and Microsoft consent screens show your own apps, lead inboxes can live on your domain, and CRM invites name your account. The hosted pages themselves are served by SyncYak.

Do agents need a SyncYak login?

No. Mailbox connect pages and CRM invite links work without one. Only your team signs in to the dashboard.

How do we keep each client’s data apart?

Give each client their own inbox and connection, name CRM tables per client, and limit API keys and team members to the products they need. For full separation, use one SyncYak account per client.

What does it cost for a large team?

Business covers 250 mailboxes, 25,000 lead emails a month and 25 team members. Past that, Enterprise sets custom limits and volume pricing, from $299 a month per product.

Can we get invoicing and custom limits?

Yes, on Enterprise: custom limits, volume pricing and invoicing per product. Start on any tier while you build; your settings stay as they are when the plan changes.
